Adding A Staff Directory: Plugin Tutorial

In this tutorial, we will install, activate and configure a free plugin called Simple Staff List.

Simple Staff List is free and lets you display information to visitors about your staff members on your site.

First, let’s install and activate the Simple Staff List plugin.

Log into your WP dashboard and go to Plugins > Add New

In the Plugins screen, search for “simple staff plugin”. This brings up the Simple Staff Plugin in your plugin search results.

Click on the Install Now button …

After your plugin has been installed and activated, a new entry will be added to the main WP menu called Staff Members

This menu is where you will manage and configure all of the settings for this plugin are configured and managed from this menu.

Plugin Configuration

Depending on how many people are in your organization and how you want to structure your directory, you can just begin to add new employee details at this at this stage, or create various groups (i.e. categories) that you will assign to your staff.

Create new groups by typing in the following information:

  1. Group Name – Type in your group name
  2. Slug – Enter the URL-friendly version of your category. Note: make sure that all letters are in lower case and use hyphens instead of spaces.
  3. Parent – Use this drop-down menu if you plan to set up nested groups
  4. Description – Enter the group description here (optional)
  5. Click Add New Group when done to create the new group name …

Once you have finished setting up your groups, the next step is to begin adding names to your directory.

From your WP admin menu, click on Staff Members > Add New

This loads the Add New Staff Member screen …

This area provides an easy-to-use interface for adding your staff member information and includes the following fields:

Name Section (1)

  • Name: Your employee’s name
  • Permalink: Change the slug for each staff member if you want (you will see this section after saving your details).

  • Photo: Upload a photo in this section

Staff Member Info Section (3)

  • Position: Your employee’s position
  • Email: Type the person’s email address
  • Phone Number: Type your employee’s phone number
  • Facebook URL: Type the staff member’s Facebook address (note: use the full URL, e.g. http://www.facebook.com/username)
  • Twitter URL: Type the employee’s Twitter username (note: only enter the username, not the full twitter URL)

  • Staff Member Bio: Enter a profile description for your employees here. This uses the WordPress Text Editor, so you can format content into this section.

  • Groups: You can assign a staff or team member to a group (see the previous section of this tutorial to learn how to set up your groups).

Note: Groups cannot be edited when adding or making changes to a staff or team member’s details. To edit an item, go to the Groups section of the plugin’s settings (see “Groups” section above for details).

If you need to modify individual details, hover your mouse over their name, and a menu will appear.

Click on Edit if you need to make changes to their Staff Bio, or Quick Edit to change details such as their name, slug, group, and publish status. You can also delete a listing from your employee directory by clicking on Trash, or view the entry on your site by clicking View

For example, a useful variation you can insert in your page to display a list of members belonging only to a specific group is the shortcode [simple-staff-list group=”group name”], (e.g.:[simple-staff-list group=”technical engineers”])

Or, you can display listings in ascending or descending order by inserting the shortcode [simple-staff-list order=”ASC”] (ascending).
